The problem

A growing school ran on scattered spreadsheets, paper ledgers, and WhatsApp threads. Attendance lived in one place, tuition payments in another, and Qur’an memorization records in a teacher’s notebook. Nothing talked to anything.

The thinking

Instead of buying five disconnected SaaS tools, I designed one ecosystem with a shared identity core: every student exists once, and every subsystem — attendance, finance, boarding savings, tahfidz tracking — reads from that single source of truth.

What I built

• Attendance with RFID and QR check-in, synced to parent notifications
• Finance covering tuition (SPP) and treasury workflows with clean audit trails
• Boarding savings for students’ pocket money with per-santri ledgers
• Tahfidz tracking with automated WhatsApp progress reports to parents

The impact

Administration that once took a team of people days each month now happens continuously, automatically, and transparently — and parents see their children’s progress in real time.

Lessons learned

An ecosystem is a promise, not a feature list. The hard part is not writing modules — it is designing the contracts between them so the whole stays honest as it grows.
